Booking Conditions

Please read these Booking Conditions carefully, as they incorporate the basis upon which bookings are accepted by Nordic Travel.

Validity: 1 Dec 2011 to 31 Dec 2012
(except where noted). Please refer to your licensed travel agent for full details.

How to book: Select the holiday of your choice and contact a licensed travel agent who will request a reservation for you. Please note that all reservations are subject to availability at the time of booking. Any written quote given is only an estimated price, which will be subject to advice on confirmation of the reservation.

Changes in prices and itineraries. All prices are in Australian dollars (except where noted) and are provided as a guide only and exclude anything not specifically mentioned shown as ‘included’. While the prices shown are inclusive of charges/hotel taxes that apply as at 01 December 2011, they do not include any fees that may be directly imposed by third parties. Prices may vary due to fuel surcharges, taxes, currency fluctuations and other elements beyond our control. Please check all prices and information with your travel agent before booking. If we have to change your booking, or part of it for reasons beyond our control, (e.g. if an airline changes its schedules, a hotelier overbooks hotel accommodation, or an operator cancels a tour), we will notify you.

If the change or changes result in your holiday costing more, or otherwise being materially different from that contemplated prior to the change or changes being effected, and in respect of which we have already accepted your deposit or balance of payment, you have the right to ask for a re-arrangement or to withdraw from the holiday and monies already paid will be refunded, less any charges levied by suppliers. The price of your holiday is not guaranteed until full payment as cleared funds is received by Nordic Travel. This excludes all taxes or fuel surcharges incurred by our supplier’s until tour/cruise commencement date.

Product Description: Descriptions featured are based on information provided by hotels and suppliers. Any facilities shown as included are subject to change at any time.

Maps & Photographs: Maps are shown for general information and may not necessarily reflect actual routings, locations or services provided. Photographs show places in the geographic areas, but are not necessarily included in the holiday.

Payments: To make a reservation, the following NON REFUNDABLE/NON TRANSFERABLE deposits, per person, per tour/flight/hotel/cruise, are required at the time of booking. This is not negotiable.

$1000 – Faroe Islands
$500 – air + land tours
$400-$800 – tours & cruises
$50 – hotel stopovers & ferries
100% – all Greenland tours
50-100% – Christmas, New Year arrangements
25%-100% – certain other tours and arrangements

Certain travel arrangements and destinations require a higher deposit and have conditions other than those mentioned. These deposit amounts are not negotiable.

Final payments for most arrangements, are due 2 months prior to client’s departure from Australia. Some tours/cruises require final balance to be paid earlier. These dates are not negotiable. Non-payment by due dates may mean full cancellation of arrangements, plus loss of monies already received by Nordic Travel.

Itinerary Development: We will gladly construct an individual itinerary to suit your needs. However, a NON REFUNDABLE itinerary development fee of $250 is required at time of request, to cover the cost and time involved in creating your personal program. This fee is redeemable upon booking your set itinerary, without changes. Personalised itineraries for Iceland self-drive tours may incur an additional fee which is non-refundable and non-redeemable.

Amendments: Should a change be made by you after your initial booking and confirmation, a charge of $55 per change, per person, will apply. Any other fees/charges imposed upon us by outside suppliers, will be added to this.

Cancellations: All cancellations must be in writing and such notice is not effective until received by Nordic Travel. This will be during office hours only (Mon-Fri, 09:00hrs-17:00hrs, local Sydney time. Not being weekends or public holidays). Outside Supplier’s cancellation fees and conditions may also apply. Refunds cannot be given on lost or unused tickets, vouchers or hotel coupons. Cancellation policies are strictly enforced, so comprehensive travel insurance is highly recommended. Cancellation of part of travel arrangements: There are no refunds for any unused services, E.g. tours, accommodation, flights, cruises, or other travel arrangements, in which you fail to participate. If you cancel during arrangements, there will be no refund for the remaining travel arrangements which you do not take and all expenses incurred by you to either rejoin the arrangements, or return to point of origin/destination, are your sole responsibility.

Cancellation by Tour Operator: All suppliers reserve the right to cancel a tour, 28 days or more, prior to departure. If this should occur, clients are entitled to a full refund and no handling fee or cancellation fees shall apply; refunds incorporated in tour prices.

Changes: Although no changes in hotels and itineraries are anticipated, the tour operators reserve the right to do so if necessary or advisable, without notice.

Not Included: Passport and visa expenses, vaccinations, air taxes, travel insurance and personal items such as soft drinks, mineral water, wines and liquors, laundry, telephone calls, room service etc.

Baggage & Personal Insurance: All baggage is carried ‘at owner’s risk’ throughout, therefore we strongly recommended at time of booking, that you purchase a comprehensive insurance policy of your choice.

Baggage Handling Allowance: One bag per person will be carried free in Scandinavia. On all tours, when domestic air transportation is included, the maximum weight allowance is 20kg. Special conditions apply for travel in Greenland.

Russian Visa: No refund is given if the Russian authorities decline a client’s visa application. Compulsory for all passengers on tours which include Russia in the itinerary. Upon full payment of your booking, you will be furnished with a confirmation voucher with the Russian reference number to enable you to obtain the necessary visa.

Important Notice: The operator and/or associated affiliated subsidiary companies are not responsible for any consequence or expense if a passenger is refused a visa or entrance into Russia. All arrangements in Russia are subject to change without notice.

Travel Insurance: We recommend that at time of booking, you consider purchasing a comprehensive travel insurance policy of your choice. Cover can be obtained for such things as loss of deposit through cancellation; loss or damage to personal baggage; loss of money; medical expenses; additional expenses to cover hotel accommodation and repatriation costs to Australia, should the holiday need to be extended or curtailed due to illness while overseas, or due to the need to return to Australia because of unexpected death or illness of a close relative; cancellation of transport services due to industrial action.

Health & Immigration: You should familiarise yourself with any health and/or visa requirements that may be applicable in the areas you intend visiting. You are responsible for all exit, entry, health and other documents required by law, regulations, orders, demands or requirements of the countries visited or transited. Each person shall carry a valid passport (with at least six months validity remaining, from your return date to Australia) at all times. Kindly note, that passport and visa requirements are your responsibility. Nordic Travel cannot accept responsibility for your failure to ensure that you have correct travel information.

Destination Passenger Enquiries: Nordic Travel makes no representation as to the safety, conditions or other issues that may exist at any destination. International travel advice can be obtained from various sources, including local government, local consular office and the Australian Department of Foreign Affairs and Trade.

Responsibility: The responsibility of SEWAH INTERNATIONAL PTY. LTD., trading as NORDIC TRAVEL, herein called ‘the company’, is the principal and/or their agents, is strictly limited. Although ‘the company’ is the principal and takes due care in choosing suppliers, it cannot control them and therefore cannot be responsible for their acts of omission. These travel services are subjected to conditions imposed on these suppliers, who may limit their liability by tariffs, contracts and international agreements.

‘The company’ acts only as agents for the passengers regarding hotels and transportation, whether rail, motor, coach, private car, boat/ship, aircraft or any other conveyance, sightseeing and other services, and as such, assume no liability for injury, damage, disappointment, distress or frustration, whether physical or mental.

Through the act of default of any company or person engaged in conveying the passenger or in result of acts of God, dangers incident to the sea, earthquakes or tremors, volcanic eruptions, fire, breakdown of machinery or equipment, acts of Government or other authorities, de jure or de facto, wars (whether declared or not), hostilities, bombs, civil disturbances, strikes, riots, thefts, pilferage, epidemics, quarantines, medical or customs regulations, or from any cause beyond the Company control, or from any loss or damage resulting from improper passport, visa or other documents. Nor shall any carrier have to incur liability as a common carrier.

‘The company’ can accept no responsibility for loss or additional expenses, due to schedule delay or changes, your failure to follow instructions, including but not limited to, check-in and check-out times and baggage handling.

The right is reserved to accept or retain any person as a member of any tour, or to change or withdraw the tour as circumstances demand. The tour operator reserves the right to change or re-schedule any tour departure in accordance with airline operating requirements. All rates are based on tariffs in effect at the time the tour was planned, and are subjected to change in the event of adjustment therein. The issuance of tickets and vouchers shall be deemed to be consent to the above conditions.

Finnair, SAS Scandinavian Airlines and Icelandair do not, by virtue of their endorsements, represent themselves as either contracting with any purchase of a holiday from, or having any other legal relationship with, any such purchase.
